To the Tessaly evaluation panel

Your night auditors should have one number to call, and the person who answers should already know.

Today 74 Tessaly hotels are looked after by 11 local IT providers, three network designs and whatever number is taped to the monitor at the front desk. Your RFP says that plainly, and it's the right place to start.

We propose to run every hotel as one managed network, watched around the clock from two Bellcord operations centers, with one help desk line for all 74 front desks. We move hotels over region by region across 18 months, on the quietest nights of each hotel's week, and no front desk loses the ability to check a guest in while we do it.

30 minto restore a hotel that can't check in, take a card or keep guests online, or we credit that hotel's fee.
0 minof front desk downtime during cutover, because a standby tablet runs the desk while we work.
$11.2Mfixed for five years. No escalator, and every line in Form B can drop on its own.

This response follows your section numbering. Our one exception, on liability, is stated in Section 9 and at the top of the compliance matrix.

Waiting

The Bellcord side runs to the service levels in Section 4. Every hotel gets backup internet, a cloud standby for the front desk and monitoring on the property system server in the base price, which is why the right-hand receipt is short.

Priya, VP of IT

What do I stop running, and what do I keep?

Scores Section 3, technical approach, 30 percent of the evaluation. Pick a system to see who owns it today and who owns it after cutover.

      Section 4

Service levels, written for a hotel

Priority is set by what a guest feels, not by which system broke. A hotel that can't check guests in is a P1 whether the cause is the property system, the network or the power strip under the desk.

The hotel can't check in, take a card or keep guests online, hotel-wide.

      Marcus, VP of Operations

What will my general managers feel on cutover night?

Speaks for 74 general managers and scores Sections 4 and 5. Pick a kind of hotel and we pick its cutover night from its own week.

Bars show average occupancy by night of the week. We only cut over on Sunday, Monday or Tuesday nights, never during the holiday freeze and never with a group block over 60 percent of rooms.

Every hotel's own cutover night is in its key on the rack in Section 2.

      Section 6

      Card data, kept small

The cheapest card data to protect is the card data you never hold. Most of the work in Section 6 is shrinking the part of Tessaly's network that payment card rules apply to.

      Ana, Director of Information Security

How much of our network is in card data scope after you're done?

Scores Section 6, 15 percent. Each square is ten devices from Appendix C. Switch on each measure to see what leaves scope.

      Section 7, Form B

The price, as a guest folio

Every line is a charge you can take off the bill. Each one says what changes if it goes. The base is the same in every version, so cutting a line buys less coverage at the same grade of work.

We'd sign it as set. If the number has to come down, take ballroom coverage off the smaller hotels first. Those rooms host fewer large events, and the help desk still covers them on a P2 basis.

The criteria, and where each is answered

RFP Section 8.2 sets six weighted criteria. Each one links to the section that answers it.

      Elena, Director of Procurement

      The terms, in plain words

Our redlines to your master services agreement are attached as Form C. This is what they say.

Five years from January 4, 2027

The term runs to December 31, 2031. Tessaly can renew for two more years at the same monthly rates.

      Prices are fixed

No annual escalator. A new hotel joins at the same per-hotel rate, and a sold hotel leaves with 60 days' notice and no fee.

      Credits pay themselves

Missed service levels show up as credits on the next invoice. Nobody at Tessaly has to file a claim.

      You can leave

Terminate for convenience on 90 days' notice. We run 120 days of transition-out help at no charge, whoever takes over.

      You own everything

Network configurations, run books, passwords, ticket history and monitoring data belong to Tessaly and are handed over on request, in open formats.

      Our people, checked

Everyone who touches a Tessaly system is a Bellcord employee with a background check. The help desk isn't subcontracted.

      Our one exception, liability

RFP 9.3 asks for unlimited liability for data incidents. We cap liability at three times annual fees and carry a $25 million cyber policy naming Tessaly as additional insured. Unlimited liability can't be insured by anyone, so a bidder who accepts it is promising money that doesn't exist.

      Insurance

Certificates for general liability, professional liability and cyber are in Form D.

      1

When will Tessaly's loyalty app team have its sign-in interface ready for guest Wi-Fi? We've planned for wave three. If it's sooner, requirement 3.2.6 moves to Comply.

      2

Appendix C doesn't say which property system servers are leased from the vendor. We've assumed none. If some are, we'll coordinate their replacement with the vendor at no extra cost.

      3

Do the hotels with union front desk agreements need notice before cutover night duties change? We've allowed 30 days in the plan and would like your labor relations team's view.
